AI Agents
Choose an AI agent around the job it must complete. For internal workflows, start with n8n or Microsoft Copilot Studio. For customer support, consider Intercom Fin. For phone conversations, shortlist Retell AI, Vapi, and ElevenLabs ElevenAgents, then compare implementation effort and the complete call budget.
The first buying decision is whether you need a workflow engine, a support agent, or a voice platform. A phone agent that answers questions and an internal agent that updates business records solve different problems. Neither becomes useful until its information, permitted actions, and escalation path are defined.
This 2026 guide maps six products to those needs using official pages checked November 5, 2026. Recommendations reflect documented capabilities and billing structures; trial accounts and measured performance results are still pending.

What this category covers
An AI agent combines a model with instructions and tools it can use to retrieve information or perform actions. n8n's agent documentation describes its agent node choosing tools to complete tasks. For buyers, the practical distinction is whether the software can finish a defined business process with a result your team can verify.
Voice AI adds a spoken conversation channel. Evaluate whether callers can correct details, interrupt, reach a person, and obtain an accurate confirmation. A convincing voice is one part of the purchase; a correctly saved appointment or completed transfer is the business outcome.
These shortlist entries use different billing units. Treat the table as a map of purchasing models, rather than a ranking by headline price. Euro prices remain in euros because that is what the opened vendor page displayed.

How we evaluate
This research draft uses vendor pricing and technical documentation. Our planned evaluation follows a request from arrival to completion: answer from approved information, collect missing details, call the relevant business tool, verify the saved result, and escalate an exception. Read our evaluation approach for the testing framework.
For voice products, the plan also covers interruptions, background noise, corrected names, and unanswered transfers. Workflow products need checks for duplicate actions, unavailable integrations, and requests outside their permissions. Ease of setup, accuracy, and reliability remain unmeasured.
The software types
The categories overlap, but each starts with a different buying problem. Our AI for business by industry guide explores workflow selection, while the voice AI platform guide focuses on phone and spoken interactions. Use the profiles below to narrow the implementation model.
Workflow automation agents: n8n
n8n connects model-driven decisions with workflow steps. Its AI Agent node requires a connected tool and lets the model choose tools for the task. Best fit: a small technical team connecting existing systems while retaining explicit workflow logic.
The pricing page lists hosted Starter at 20€/mo billed annually, with 2.5K workflow executions, and Pro at 50€/mo billed annually, with 10K executions. An execution represents a workflow run rather than an individual step. The comparison also lists human approval for tool calls.
Limitations: the workflow still needs configuration, maintained connections, and exception handling. Those are implementation responsibilities to assess during a pilot. Do not treat an execution allowance as a promise about completed customer requests.

Business-system agent builders: Microsoft Copilot Studio
Microsoft Copilot Studio is a candidate for organizations building agents around Microsoft services. Its pricing page distinguishes internal agents available through Microsoft 365 Copilot from standalone deployment to external channels. Best fit: a Microsoft-centered business with someone responsible for licensing and administration.
Microsoft lists capacity packs at $200.00/pack/month for 25,000 Copilot Credits, alongside pay-as-you-go and pre-purchase options. Different responses and actions consume different credit amounts. Pay-as-you-go requires an active Azure subscription linked to the environment.
Limitations: a credit pack is not a fixed conversation allowance. Map the actual workflow and intended audience before budgeting; internal employee use and public website deployment require different purchasing considerations. Ask your administrator to validate the proposed license arrangement.

Helpdesk-centered support agents: Intercom Fin
Intercom Fin is a support-focused option. Intercom documents email and live-chat answers, actions in external systems, and escalation into the selected inbox. Best fit: a support team that wants AI within its existing service process.
Fin costs $0.99 per outcome. Intercom offers Essential, Advanced, and Expert subscriptions with seat charges, or Fin on an existing helpdesk without seat charges and with minimum commitments. The vendor's definition of an outcome includes confirmed resolutions, answers followed by no further help request, and completed Procedures that can include handoffs.
Limitations: a billable outcome does not always mean the entire issue ended without a person. Review that definition against your own success measure and budget for the selected helpdesk arrangement.

Managed phone-agent platforms: Retell AI
Retell AI packages phone-agent building and monitoring. Its Pay as you go offering lists templates, transcripts, analytics, simulation testing, webhooks, and API access. Best fit: a business seeking a phone-agent platform with documented operational tools.
The published voice range is $0.07-$0.31/minute, with $10 in free credits and 20 concurrent calls included. Enterprise voice pricing is Not publicly listed (quote-based). Telephony, selected models, and add-ons need checking in the component breakdown.
Retell's transfer documentation covers cold and warm transfers to a person. Limitations: its transfer tool works for phone calls, excluding web calls. After a transfer, the AI voice fee stops while telephony charges continue. Budget the full customer call, including the portion handled by staff.
Developer-oriented voice orchestration: Vapi
Vapi is a candidate for teams building a custom voice application. Its tools can call APIs, retrieve records, and route live calls. Best fit: a business with developers or an implementation partner responsible for the connected systems.
Vapi lists $0.05/min for hosting, with provider costs passed through at cost. No Success Package includes $5 in starting credits and four concurrent calls. The optional Core success package is $29/month; treat the support package and usage charges as separate budget lines.
Limitations: the hosting rate excludes the complete voice pipeline. Its transfer documentation also identifies provider-specific restrictions; several warm-transfer modes require Twilio. Specify the phone provider and exact transfer behavior before commissioning the integration.

Voice and conversation builders: ElevenLabs ElevenAgents
ElevenLabs ElevenAgents combines conversation workflows, knowledge sources, voice configuration, and external tools. Best fit: a team that wants to design spoken interactions and connect them to business actions. Its build documentation describes a visual workflow builder and configurable interruptions and pacing.
Free includes 15 call minutes and four concurrent calls. Starter lists $1 for the first month, then $6 per month, with 75 minutes and six concurrent calls. Creator lists $11 for the first month, then $22 per month, with 275 minutes. These are monthly-billing figures.
Limitations: LLM and telephony charges are separate. Commercial licensing appears among Starter's additions to Free. A free prototype therefore requires a separate production suitability check, including the license, expected call load, and connected services.
Which tools you need by business size
Solo operators: select one recurring request, such as collecting appointment details or drafting a follow-up for review. Prioritize the process you can maintain yourself. Choose a voice shortlist only when phone handling is the actual bottleneck; a general workflow may be easier to justify for work arriving through forms or email.
Small teams: make ownership explicit. Someone must update the knowledge source, review failed actions, and handle escalations. A helpdesk-centered agent fits a service queue, while a workflow builder fits tasks spanning several applications. Compare the time spent managing exceptions with the time the automation is expected to save.
Midsize businesses: evaluate permissions, approval steps, deployment controls, and reporting alongside the feature demo. Require a clear record of what the agent changed and who can correct it. Check that managers can distinguish a successful conversation from a completed action in the underlying system.
Headcount alone does not decide the platform. A small operation with complex phone routing can need more integration work than a larger team automating an internal summary. Choose the narrowest product and access scope that can complete the job.
Before expanding a pilot, use a practical acceptance checklist:
- Correct information: supply approved answers and ask questions the source cannot answer.
- Correct action: confirm the saved record, including corrected details and duplicate prevention.
- Human recovery: check what happens when staff are unavailable or a tool fails.
- Accountable cost: reconcile actual invoices with executions, credits, outcomes, or minutes.
- Clear ownership: assign maintenance and decide when the pilot should pause.
FAQ
What is an AI agent for business?
It is software that uses a model, instructions, and connected tools to work toward a defined goal. That might mean answering a question and retrieving a record, or collecting details and updating a system. Evaluate the completed action and its audit trail, rather than treating a fluent response as proof that the work finished.
What is the difference between an AI agent and voice AI?
An agent describes how software selects information and actions; voice describes the interaction channel. A voice agent combines spoken conversation with permitted tools. A text-based agent can perform similar business tasks without audio. Choose according to where requests arrive, what action must happen, and how a person takes over when needed.
How much do AI agents cost for a small business?
The bill depends on the charging unit and deployment. Products here meter workflow executions, credits, outcomes, or call minutes. Compare a representative month of your own work, including subscriptions, connected services, and implementation. Ask how retries, transferred calls, and exceptions affect charges before projecting savings from the advertised entry rate.
Can I use a free AI voice agent for my business?
Free allowances can support initial evaluation, but production suitability depends on licensing and capacity. ElevenAgents lists a Free allowance while placing commercial licensing in Starter. Retell and Vapi offer starting credits. Check the specific terms, recurring charges, and human recovery process before routing customer calls through any free prototype.
