Automation

Business automation software is not one product. It is a handful of tool types that solve different problems, and the right pick depends on what you want to automate. If you need to connect apps and move data between them, start with a workflow tool such as Zapier or n8n. If your work lives in email and lead nurturing, look at HubSpot Marketing Hub or ActiveCampaign. If you need software bots that click through legacy screens, look at robotic process automation (RPA) from UiPath or Microsoft.

Small teams usually get the most from a free or low-cost workflow tool plus the marketing automation built into their email or CRM platform. Larger companies tend to add RPA and process governance, and those products are mostly sold by quote. Pricing models also differ a lot: per task, per execution, per user, per bot or per contact.

This hub compares six established products across four types, using what each vendor documents on its own pages. It is a research draft built from vendor pages, not a lab report. For deeper comparisons, see our guides to workflow automation software and marketing automation software.

What This Category Covers

Automation software replaces repeated manual steps with rules. A new form entry creates a CRM record, a signed contract triggers an invoice, or a new subscriber starts an email series. The tools differ in where they run, who builds the automations and how they charge for usage.

We group the category into four types:

  • Workflow automation: connects business apps through triggers and actions, usually with a visual editor.
  • Marketing automation: automates email, lead scoring, segmentation and follow-up using contact data.
  • Robotic process automation (RPA): software bots that operate applications through the user interface when no clean integration exists.
  • AI agents and process orchestration: newer tools that add AI steps, agents and process monitoring on top of the other three.

Many vendors span several types. Microsoft Power Automate, for example, lists cloud flows and desktop flows (RPA) on the same pricing page, and Zapier and n8n both list AI agent features alongside workflow building. The type we assign is the one that fits a product's core use.

Shortlist: Best Fit by Need

These are fits based on documented features and price, not test winners.

  • Best fit for a first automation on a zero budget: Zapier's Free plan ($0, 100 tasks per month) or the self-hosted n8n Community Edition, which n8n describes as a standard self-hosted version available on GitHub.
  • Best fit for teams that want predictable usage billing: n8n, which bills by workflow executions and says a single execution counts the same however many steps the workflow has.
  • Best fit for Microsoft 365 organizations: Power Automate, which lists a per-user Premium plan at $15.00 user/month, paid yearly.
  • Best fit for email-led marketing teams: HubSpot Marketing Hub, which says basic marketing automation is free with no credit card, or ActiveCampaign, whose entry plan lists multi-step marketing automation.
  • Best fit for enterprise RPA programs: UiPath, which lists a free Community tier and sells its Standard and Enterprise tiers by quote.

How We Evaluate

This draft relies on vendor documentation: pricing pages, plan comparisons and product pages opened on November 4, 2026. We record prices exactly as displayed and note when a page hides a price behind a slider, selector or sales form. The final version will build the same three automations in every product: an app-to-app sync, a lead follow-up sequence and an approval flow. Each product will be scored on the same scorecard, with weights published beside the results. Our full approach is on the how we test page.

The Software Types

Workflow Automation Software

Workflow tools connect the apps you already use. A trigger in one app, such as a new row or form entry, starts actions in others. This is the usual first step for small teams because setup is visual and many tools offer a free tier. Our guide to workflow automation software compares the options in depth.

Zapier. Zapier's pricing page lists a Free plan at $0 per month with 100 tasks per month, unlimited Zaps, Tables and Forms, and two-step Zaps. Professional is listed as starting from $19.99 per month and adds multi-step Zaps, unlimited premium apps, webhooks and AI fields. Team starts from $69 per month and lists 25 users, shared Zaps and folders, shared app connections, SAML SSO and priority support. Enterprise is priced by contacting sales. Pricing scales by task tier, and the page says every step in a Zap and every external connector call uses tasks, so long workflows consume more of your allowance. Free Zaps poll every 15 minutes, against 2 minutes on Professional and 1 minute on Team.

Zapier pricing and plans

n8n. n8n says all plans include unlimited users and workflows and every integration, with pricing based on monthly workflow executions. Cloud Starter is listed at 20€ per month, billed annually, for 2.5K executions; Pro is 50€ for 10K executions; Business is 667€ for 40K executions and is self-hosted only. Enterprise is by contact. n8n's cloud trial needs no credit card, with a 1,000-execution limit, while the Business trial lasts 14 days and requires a card. Starter allows 5 concurrent executions and a 5-minute maximum execution duration. Prices on this page appear in euros.

n8n pricing and plans

Microsoft Power Automate. Power Automate sits between workflow and RPA. Its pricing page lists a 30-day free trial with UI-based cloud flows and standard connectors, and Premium at $15.00 per user per month, paid yearly, covering cloud flows, attended desktop flows and process mining with 50 MB of data stored. It also lists Process at $150.00 per bot per month and Hosted Process at $215.00 per bot per month, both paid yearly, for unattended automation.

Marketing Automation Software

Marketing automation uses contact data to trigger emails, score leads and segment audiences. It is tied closely to a CRM or email list, which is why many small businesses adopt it as part of a marketing platform. See our guide to marketing automation software for ranked options.

HubSpot Marketing Hub. HubSpot's marketing automation page says basic marketing automation features are free with no credit card required, and that advanced features come with the Starter, Professional and Enterprise editions of Marketing Hub. It lists a 14-day free trial and describes a visual workflow editor, form and email automation, lead scoring and journey orchestration. We could not read HubSpot's marketing pricing page, so no edition prices appear here.

HubSpot marketing automation

ActiveCampaign. ActiveCampaign sells four plans, Starter, Plus, Pro and Enterprise, with price tied to contact count. At 1,000 contacts, Starter lists multi-step marketing automation, 10,000 email sends per month and 1 user seat. Plus adds cross-channel marketing, generative AI and landing pages. Pro lists 3 seats, predictive sending and conditional content. Enterprise lists 5 seats, SSO and HIPAA support. The plan prices did not display on the page we opened, so none are given here.

ActiveCampaign pricing

Robotic Process Automation (RPA)

RPA bots work through the screen the way a person would: opening applications, copying values and filling fields. They suit older systems that lack an API. Costs are usually per bot or per tier, and the heavier plans are quote-based.

UiPath. UiPath's pricing page lists Community as free forever and Basic as starting at $25 per month, with limited scale and hosting in its European region; the page also says an updated Basic offering is coming soon. Standard and Enterprise are sold by contacting sales, and Standard lists a 60-day free trial. UiPath says Standard adds enterprise automations including agents, document classification and extraction, and orchestration of agents, robots and people.

UiPath plans and pricing

Power Automate also belongs here: Microsoft lists attended desktop flows (RPA) in Premium and unattended desktop flows in its per-bot plans.

AI Agents and Process Orchestration

This newer group adds AI steps and agents to automations, plus tools to watch how processes run. The vendors above already ship pieces of it. Zapier lists Agents, Chatbots, Canvas and MCP among its AI products, and n8n lists an AI Agent node, MCP client and server features and human approval for tool calls. Power Automate offers a Process Mining add-on at $5,000.00 per tenant per month, paid yearly, available for the Premium plan only. UiPath's Enterprise tier lists monitoring, optimizing and simulating live business processes.

Treat AI features as an extra to price separately. Zapier's page says AI steps, code and its SDK follow the same task-based model as the rest of the platform, and n8n includes monthly Assistant credits that do not roll over.

Which Tools You Need by Business Size

Solo operators and teams under 10

Start with one free or low-cost workflow tool and the marketing automation in your email platform. Zapier Free and the n8n Community Edition cost nothing in license fees, though n8n's self-hosted version means you run it yourself. Check task or execution limits first, because a free plan with 100 tasks per month can run out quickly if each Zap has several steps.

Growing companies of 10 to 100 people

You will likely need shared workspaces, user roles and support. Zapier's Team plan lists 25 users and shared connections. n8n's Pro plan lists admin roles and workflow history, and its Business plan is described as being for companies with fewer than 100 employees. A marketing platform with segmentation and lead scoring, such as HubSpot or ActiveCampaign, usually joins the stack at this stage.

Larger organizations

Governance, audit logs and single sign-on matter more than the entry price. Zapier Enterprise lists observability and advanced admin permissions. n8n Enterprise lists audit logging and log streaming. UiPath and Microsoft add bot-based RPA, and UiPath Standard and Enterprise are quote-based. Expect sales conversations and implementation planning.

Questions to ask any vendor

  • What counts as a billable unit: a task, an execution, a user, a bot or a contact?
  • Which features sit above the entry plan, such as multi-step logic, SSO or audit logs?
  • Is the free option a permanent plan or a time-limited trial?
  • What happens when you exceed your limit: a cap, an overage fee or a forced upgrade?

FAQ

What is business automation software?

It is software that runs repeated business tasks by rule instead of by hand. Examples include moving data between apps, sending follow-up emails, routing approvals and operating legacy screens with software bots. The main types are workflow automation, marketing automation, RPA and, increasingly, AI agents. Most vendors cover more than one type.

Which automation tool is best for a small business?

There is no single winner. On documented price, Zapier's Free plan and n8n's self-hosted Community Edition give small teams a no-license-fee start. If marketing is the priority, HubSpot says basic automation is free. Compare billing units and limits first, because they decide what you pay as usage grows.

Is there free automation software?

Yes, with limits. Zapier lists a Free plan with 100 tasks per month. UiPath lists a Community tier that it calls free forever. HubSpot lists free basic marketing automation. n8n offers a self-hosted Community Edition. Microsoft lists a 30-day trial rather than a free plan on the page we checked.

What is the difference between workflow automation and RPA?

Workflow tools connect apps through triggers and actions, usually over APIs. RPA bots operate applications through the screen like a person would, which helps when no integration exists. Microsoft lists both in Power Automate: cloud flows for workflows and desktop flows for RPA.
