What You Lose on Free Plans
Forever-free tiers restrict controls that growing businesses often need:
- Two-way calendar sync: Setmore Free and Square Free omit two-way Google Calendar sync, so external personal events do not automatically block client slots.
- Automated SMS reminders: Calendly Free includes no automated reminders, while Setmore and Zoho Bookings include email reminders on Free. SimplyBook.me includes email reminders and sells SMS credits separately, including on Free. Square Free and Cal.com Individuals list SMS notifications as included.
- Deposits and no-show fees: Calendly, Zoho Bookings, and SimplyBook.me gate payments behind paid plans. Setmore Free takes full payments without deposits, and Square Free holds card-on-file no-show fees for Square Plus ($49 per month).
- Team routing and branding: round-robin assignment and removing vendor logos require paid tiers in Cal.com, Calendly, and Zoho Bookings.
When to Upgrade
Staying on $0 works while one person manages a single calendar or a shop keeps all bookings in Square POS. Entry paid plans cost $5 to $12 per user per month, billed annually, at Setmore, Zoho Bookings, Calendly, and Cal.com.
Upgrade when you need two-way calendar sync for staff, card-on-file cancellation fees, round-robin routing, or over 50 monthly bookings on SimplyBook.me. For wider options across categories, see our guide to free scheduling software.
FAQ
Is there a completely free scheduling app for small business?
Yes. All six apps here document free plans rather than only expiring trials. Cal.com Individuals, Calendly Free, and Zoho Bookings Forever Free allow unlimited monthly bookings for one user. Setmore Free covers up to four users with unlimited appointments, and Square Free supports unlimited staff calendars.
Which free booking app lets small businesses accept payments?
Cal.com, Setmore, and Square Appointments support payments on their $0 plans, though processor fees apply. Cal.com Individuals connects to Stripe and PayPal. Setmore Free integrates with Square, Stripe, PayPal, and LawPay for full payments, while Square Free handles cards, digital wallets, and deposits at 2.6% + 15¢ in person or 3.3% + 30¢ online.
What is the best free scheduling app for multiple staff members?
Setmore Free and Square Free are the two documented multi-staff choices at $0. Setmore Free gives up to four staff members separate logins and unlimited appointments, though two-way calendar sync requires Pro. Square Free allows unlimited staff calendars with POS tools, while reserving Google Calendar sync for Square Plus.
Can these free scheduling apps manage employee work shifts?
Not as full shift-scheduling systems. These apps handle client appointment booking so customers can reserve open service slots online. Although Setmore Free and Square Free record staff working hours to calculate client availability, businesses needing shift swaps, time clocks, or labor-cost tracking should use dedicated employee shift software.
