Choosing medical appointment scheduling software starts with two questions: which plan includes a signed HIPAA Business Associate Agreement (BAA), and whether you need standalone booking or a full clinical platform. On vendor pages checked November 7, 2026, SimplePractice ($49–$99/month at standard rates), Jane ($59–$99/month), PracticeQ ($59.90–$84.90/month), and Acuity Scheduling ($16–$55/month billed annually, with a BAA on the $55/month Premium tier) publish prices, while NexHealth and DrChrono sell by quote.

Solo clinicians wanting booking, intake, telehealth, and billing together fit SimplePractice or PracticeQ; multi-provider clinics sharing rooms fit Jane; and offices keeping an existing EHR fit Acuity Premium or NexHealth. See our Scheduling & Booking Software Guide (2026) for general tools or our patient scheduling software guide for patient self-service.

How We Evaluated

This is a research-based guide. We compared the products using their official pricing pages, documentation, and help centers, checked November 7, 2026. Best Medical Scheduling Software, Reviewed

SimplePractice

SimplePractice is a cloud EHR and medical appointment software with standard prices of $49/month for Starter, $79 for Essential, and $99 for Plus (50% off for three months for eligible customers subscribing within seven days, or a 30-day no-card trial). Groups on Plus add extra clinicians at $74/month each for two to five providers. SimplePractice publishes a HIPAA BAA and states that it is HITRUST certified. Its features include a Client Portal, intake forms, and progress notes; every plan includes online appointment requests and 1:1 telehealth.

Best fit: solo clinicians and small behavioral or outpatient groups wanting booking and notes together. Essential ($79) includes email, text, and voice reminders, calendar sync, and secure messaging; Plus ($99) adds group appointments and group telehealth. Limitations: Starter reminders are limited to telehealth appointments, and calendar sync is unavailable. Insurance Essentials claims start at $0.39 each, with volume discounts; card fees are 3.15% + $0.30, and CPT access adds $20/year per paid clinician. Standard add-on prices are $35/month per clinician for Note Taker AI, $59/month for Care Aide for the account owner, and $49/month per clinician plus an $89 setup fee per clinician for ePrescribe.

Jane

Jane is an online medical appointment booking system for physical therapy, chiropractic, behavioral health, and multidisciplinary clinics. U.S. USD plans are Balance ($59/month, 1 practitioner, 20 appointments/month cap), Practice ($79/month), and Thrive ($99/month). Practice and Thrive include one full-time practitioner and unlimited appointments; additional practitioners are priced by plan and booked hours, with full-time defined as 24 or more booked hours/week. See the vendor site for additional-practitioner rates.

Best fit: multi-provider clinics with part-time shifts and shared rooms. Every tier includes a branded booking site, intake, charting, CMS 1500s, superbills, 1:1 telehealth, email reminders, and five free AI Scribe notes/month. Practice adds unlimited SMS reminders; Thrive adds room and equipment scheduling, self check-in, and automated waitlist alerts. Limitations: no live free trial exists—only demos and a shared Demo Account sandbox. Integrated U.S. insurance billing requires Practice or Thrive plus a $20/month add-on ($5 per additional full-time clinician or $2.50 per part-time clinician) and a separate Claim.MD account; card rates are 2.85% + $0.25 online and 2.6% + $0.10 in person.

Acuity Scheduling

Acuity Scheduling (by Squarespace) is a standalone medical booking system with three USD plans—Starter ($16/month annual, $20 monthly, 1 calendar), Standard ($27 annual, $34 monthly, 6 calendars), and Premium ($55 annual, $69 monthly, 36 calendars)—plus Enterprise quotes and a 7-day no-card trial. Covered healthcare providers using Acuity for PHI need a BAA: Premium ($55/month billed annually / $69/month billed monthly) supports one, and Enterprise offers custom BAAs for an additional cost. Starter and Standard offer no HIPAA BAA.

Best fit: clinics keeping charts elsewhere that want custom intake forms, waitlists, Stripe/Square/PayPal/Venmo deposits, Zoom or Google Meet links, an AI Booking Assistant, and a BAA across up to 36 calendars. Limitations: Squarespace’s Help Center notes that HIPAA mode disables Acuity invoicing, Reserve with Google, Squarespace Email Campaigns, and Office 365, Outlook.com, Exchange, and iCloud sync. Email alerts omit intake answers, Google Docs uploads are blocked, sessions expire after four hours of inactivity, and the BAA covers Acuity only.

PracticeQ

PracticeQ (from IntakeQ) pairs online medical scheduling programs with digital intake at $59.90/month for Starter and $84.90/month for Pro, with no contract and a 14-day no-card trial. Both plans include a HIPAA BAA, free assistant accounts, online booking, recurring packages, a patient portal, telehealth, SOAP charting, invoicing, and claims/superbill tools.

Best fit: psychiatry, direct primary care, and med-spa clinics centered on conditional intake packets. Limitations: Starter caps each practitioner at 25 appointments, 25 forms, and 50 SMS monthly ($25/month per extra practitioner); Pro caps at 500 appointments, 500 forms, and 300 SMS ($30/month per extra practitioner). Add-ons include e-Prescribing ($65/month), Engage (from $99.90/month), and faxing ($0.10/page).

NexHealth

NexHealth sells quote-based monthly or annual upfront packages across six modules: Scheduling, Forms, Communications, Payments, Verification, and Insights. Every package includes HIPAA compliance, white-glove setup, and the NexHealth Synchronizer for real-time EHR read/write sync.

Best fit: medical and dental groups wanting 24/7 Google, website, text, and QR booking—plus One-Click Recalls and Waitlist fills—synced into EHRs like Epic Systems, athenahealth, eCW, NextGen, or DrChrono without a portal login. Limitations: public prices and trial terms are not listed on the pricing page, and annual plans require 90 days’ non-renewal notice.

NexHealth pricing

DrChrono

DrChrono (by EverHealth) sells quote-based EHR, billing, and practice management across Foundation, Growth, and Premium. All tiers include a website booking widget, appointment profiles, a check-in kiosk app, the OnPatient portal, telehealth, unlimited staff accounts, and unlimited email reminders.

Best fit: independent medical offices wanting iPad/iPhone charting linked to scheduling and eligibility checks (included from Growth; No Show Predictor is included in all three plans, and Premium includes EverHealth Scribe). Limitations: public prices and trial terms are not listed on the pricing page. Reminder allowances are 250 texts / 100 calls on Foundation, 500 / 250 on Growth, and 1,000 / 750 on Premium ($0.05/extra text, $0.10/call), payments add a $5 program fee plus 3.25% + $0.30, and e-statements cost $0.59.

What to Look For in Medical Scheduling Software

Clinics cannot shop the way hospitality teams compare booking software by industry. Unlike a hotel booking system for room inventory or the best restaurant scheduling software for table turns, a medical scheduling app can handle Protected Health Information when a patient’s identifying details are linked to a healthcare appointment or visit reason.

  • HIPAA BAA: Federal privacy rules (45 CFR § 164.504(e)) generally require a covered entity to enter a BAA before a vendor acting as its business associate handles PHI. Confirm which tier includes it and what HIPAA mode disables, such as Acuity’s Outlook/iCloud sync block. This is general information, not legal advice.
  • Standalone vs. EHR sync vs. all-in-one: SimplePractice, Jane, PracticeQ, and DrChrono bundle charting and billing. Clinics keeping an existing EHR should verify NexHealth Synchronizer support or use Acuity Premium standalone.
  • Caps and reminder gates: Check 20-to-25-appointment entry limits (Jane Balance, PracticeQ Starter), reminder gates (SimplePractice Essential), and text overages (DrChrono).
  • Rooms and part-time seats: Multi-clinician clinics should verify room scheduling and part-time clinician pricing.

FAQ

What is the best medical appointment scheduling software for small practices?

On documented features and published pricing, SimplePractice ($49 to $99/month) and PracticeQ ($59.90 to $84.90/month) fit solo and small outpatient practices wanting online booking, intake forms, telehealth, and billing together. Multi-provider clinics fit Jane ($79 to $99/month), with shared-room scheduling on Thrive ($99/month), while standalone HIPAA booking fits Acuity Scheduling Premium ($55/month annual).

Why can’t medical offices use standard free scheduling tools?

When a patient’s identifying details are linked to an appointment or visit reason with a covered healthcare provider, that record can involve Protected Health Information (PHI). A vendor handling PHI as a business associate generally needs a signed HIPAA Business Associate Agreement (BAA); Acuity’s Starter and Standard plans do not offer one.

How much does medical scheduling software cost in 2026?

Published self-serve plans checked November 7, 2026 start between $49 and $59.90/month for solo tiers on SimplePractice, Jane, and PracticeQ, or $55/month billed annually ($69 monthly) for HIPAA-enabled Acuity Scheduling Premium. Additional clinician charges depend on the vendor and plan; NexHealth and DrChrono sell by custom quote.

Is there medical scheduling software with a free trial?

Three vendors advertise no-credit-card trials: SimplePractice gives 30 days, PracticeQ gives 14 days, and Acuity Scheduling gives 7 days. Jane offers live demos plus unlimited shared Demo Account sandbox access, while NexHealth and DrChrono advertise demos without stating trial terms on their pricing pages.
