The six booking systems
SimplyBook.me
SimplyBook.me is a booking platform with a booking website, widget and admin app, sold in tiers by monthly booking volume and number of providers. Best fit for solo providers and small teams that want a free starting point and may add payments or SMS later.
According to its pricing page, the Free plan covers 50 bookings a month and one provider, with no time limit and no credit card, though it must be renewed monthly. Basic ($11.9 a month billed annually, $13.9 billed monthly) lists 100 bookings and five providers and adds payments, deposits and tips. Standard ($24.9 a month billed annually, $29.9 billed monthly) lists 500 bookings and 15 providers, and Premium ($49.9 a month billed annually, $59.9 billed monthly) lists 2,000 and 30. A 14-day trial covers most features and 50 bookings.
All plans include recurring appointments, resource scheduling and Zapier. The vendor says it charges no transaction fees, though Stripe or PayPal fees still apply. Limits: SMS and WhatsApp credits are paid add-ons ($8 per 100), and extra bookings cost $4 per 100.
Acuity Scheduling
Acuity Scheduling is a paid-only scheduler built around client self-booking, with plans priced by number of calendars. Best fit for solo practitioners and small teams that want payments and intake forms from the first plan and do not need a free tier.
Starter is $16 a month billed annually ($20 billed monthly) for one calendar. Standard is $27 ($34) for up to six calendars and adds text reminders, a waitlist, packages, memberships and gift certificates. Premium is $55 ($69) for up to 36 calendars and adds an AI booking assistant, a signed HIPAA BAA, footer removal and custom API and CSS access. Every plan has a 7-day trial with no credit card.
All plans list payments and deposits through Stripe, Square, PayPal and Venmo, plus intake forms. Limits: a second staff calendar means moving to Standard, and text reminders start there too.
Setmore
Setmore pairs a permanent free plan with a low per-user Pro plan. Best fit for very small teams that want a free start and an inexpensive upgrade for deposits and text reminders.
The Free plan is $0 for up to four users, with unlimited appointments, a branded booking page, team calendars and online and in-person payments. It has one email reminder, keeps Setmore branding on the booking page, and leaves out deposits, SMS reminders and two-way calendar sync. Pro is $12 per user billed monthly or $5 per user billed annually, per Setmore’s support article, and adds those features plus recurring and video appointments, branding removal, API access and a signed HIPAA BAA. Setmore advertises a 30-day money-back guarantee on paid Pro upgrades.
Limits: each staff calendar counts as a user, even without a login, so five calendars would cost $25 a month on annual billing.
Square Appointments
Square Appointments is Square’s booking product, built around Square payments and hardware. Best fit for businesses that already take card payments with Square or want booking and checkout in one system.
Square Free is $0 per location and lists an online booking site, appointment reminders and unlimited staff calendars. Plus adds a cancellation policy with no-show fees, multi-staff booking and a waitlist. Premium adds a future bookings report, service cost tracking and resource management. The comparison table on Square’s pricing page lists Plus at $49 and Premium at $149 per location per month, and the FAQ gives Plus and Premium a free 30-day trial.
Limits: the monthly fee applies to each location, processing fees vary by plan, and the page’s plan cards did not show prices in text, so confirm at signup.
Calendly
Calendly is a meeting scheduler more than a service-business booking system. Best fit for consultants, coaches and sales-led small businesses that book calls rather than appointments with staff and rooms.
The Free plan is “always free” with one event type, one calendar connection and one-on-one scheduling. Standard is $10 per seat per month billed annually and adds unlimited event types, six calendar connections, automated reminders, cancellation policies and a Stripe and PayPal connection. Teams is $16 per seat per month billed annually and adds round-robin scheduling and routing forms. Calendly describes a 14-day trial that ends with an automatic downgrade to Free.
Limits: the plan list centers on meetings and does not mention service menus, staff schedules or resources.
Zoho Bookings
Zoho Bookings is the scheduling app in the Zoho family. Best fit for teams already using Zoho CRM or other Zoho apps that want a low per-user price.
The Forever Free plan covers one user with online meetings, reminder emails and two-way calendar sync with Zoho, Google and Microsoft 365. Basic is US$6 per user a month billed annually (US$8 monthly) and is limited to one workspace. Premium is US$9 (US$12 monthly) with three workspaces, and alone lists payment providers, SMS providers, WhatsApp, white labeling, a custom domain and group bookings. Zoho One customers get Premium access.
Limits: online payments require Premium. Zoho advertises a 15-day free trial on its Bookings calendar page.
What to look for in a small-business booking system
- The pricing unit. Setmore, Zoho Bookings and Calendly charge per user or seat, Acuity by calendar, Square by location and SimplyBook.me by bookings and providers. Price your own headcount first.
- Payments and deposits. Check which plan includes them: SimplyBook.me at Basic, Setmore deposits at Pro, Zoho Bookings at Premium, Acuity on all plans. Payment processors charge their own fees.
- Reminders. Text reminders are often gated: Acuity from Standard, Setmore on Pro, and SimplyBook.me sells SMS credits separately.
- Health data. Acuity (Premium) and Setmore (Pro) list a signed BAA, and SimplyBook.me lists HIPAA from Standard. This is not compliance advice, so confirm with the vendor and your own advisor.
- Fit beyond appointments. If you sell multi-day trips or inventory, see travel reservation software. For the full category, start with the Scheduling & Booking Software Guide (2026).

FAQ
What is the best booking system for a small business?
There is no single best option. Solo providers who want a free start can look at SimplyBook.me or Setmore, and businesses that want payments on every plan at Acuity Scheduling. Square sellers can look at Square Appointments, and call-based businesses at Calendly.
Is there a free booking system for small business?
Yes. SimplyBook.me (50 bookings a month, one provider), Setmore (up to four users), Square Appointments ($0 per location), Calendly (one event type) and Zoho Bookings (one user) all list free plans. Acuity Scheduling states it has no free plan and offers a 7-day trial instead.
How much does a small-business booking system cost?
Among these six, entry paid plans run from $5 per user a month (Setmore Pro, billed annually) to $49 per location a month (Square Plus), before add-ons. Acuity starts at $16 billed annually. The units differ (user, seat, calendar, location), so total your own staff count before choosing.
Do I need online payments in my booking system?
Not always, but payments help if you want deposits or no-show fees. Square describes deposits as a way to protect your calendar and reduce no-shows. Check which plan includes payments, because it varies: Zoho Bookings requires Premium, SimplyBook.me requires Basic, and Acuity includes it on every plan.
